Privacy Notice

This Privacy Notice explains what personal data ALOBASE receives when you visit alobase.vn or contact us, why we use it, who else is involved and how you can exercise your rights. It is written for HR, L&D and business professionals who contact us on behalf of their organisations.

1. What this notice covers

This notice covers personal data we receive through the Website, the Google Forms we link to, and emails, phone calls or Zalo messages you send us about our programmes.

It does not cover the delivery of training for a client organisation. In those engagements, participant data is handled according to the agreement between ALOBASE and that organisation. If you are a participant and have questions, you can contact your HR or L&D team, or us.

2. Data we collect and why

Please share only what is needed for your enquiry. You do not need to send us personal data about participants, or confidential company documents, to request a proposal.

3. What we do not do

• We do not sell, rent or trade personal data.
• We do not use enquiry or consultation data to train AI models.
• We do not ask for passwords, one-time codes, payment card details, health data or other sensitive data through the Website or our forms.
• We do not make automated decisions that significantly affect you on the basis of Website data.

4. Who we share data with

Inside ALOBASE, personal data is available only to the people who need it to respond to you, deliver our services or run our systems. Outside ALOBASE, we use or connect to these services:

• Google (Google Forms, Google Analytics and email services), which stores and processes data on our behalf and under its own terms;
• our website hosting provider, which processes technical logs to serve the Website;
• Zalo, Facebook or YouTube, if you choose to contact us or view our content on those platforms, under their own privacy policies.

We share personal data with public authorities or other third parties only where Vietnamese law requires or permits it.

5. International transfers

Some of the services above, including Google, may store or process data on servers outside Vietnam. Where Vietnamese law requires impact assessments, records or other procedures for such transfers, ALOBASE carries them out.

6. Cookies and analytics

The Website does not have user accounts or online payments and does not need cookies to work. We use Google Analytics 4 to measure how the Website is used. The first time you visit, a banner asks whether you allow analytics cookies.

• If you accept, Google Analytics may set cookies to measure visits and recognise returning browsers.
• If you decline, or before you choose, no analytics cookies are set. Google may still receive limited, cookieless signals (such as a page view without an identifier) that it uses to produce aggregated statistics.
• We do not use advertising cookies or share Website data with Google for advertising.

Embedded or linked services such as YouTube and Facebook may set their own cookies when you use them.

7. Retention and security

We keep personal data only as long as needed to handle your enquiry, maintain a business relationship you have agreed to, or meet legal obligations. After that, we review it and delete or anonymise it unless a contract or the law requires us to keep it longer. Analytics data is kept in line with our Google Analytics retention settings.

We limit access to authorised people, manage accounts and permissions, and use secure (HTTPS) connections. If an incident puts personal data at risk, we will act to contain it and notify affected people and authorities as required by law.

8. Your rights

Under Vietnam’s Law on Personal Data Protection, you can:

• be informed about how your data is processed;
• give, refuse or withdraw consent;
• access, view and correct your data;
• ask us to delete your data, or to restrict or stop processing it, where applicable;
• make a complaint or seek compensation where the law provides for it.

Withdrawing consent does not affect processing that took place before you withdrew it. Some requests may be limited where we must keep data by law. If you are located outside Vietnam, you may have additional rights under your local law. Contact us and we will handle your request in line with the law that applies.

9. Making a request

Email alobase.startup@gmail.com with the subject line “Personal data request”. Please include your name, the email or phone number you used to contact us, and what you would like us to do. We may ask for reasonable information to confirm your identity. We will acknowledge your request and respond within the time limits set by Vietnamese law.

10. Changes and language

We may update this notice when our services, tools or the law change. The current version and its date are always published on this page, and we will give additional notice of significant changes where the law requires it.

This English version is provided for the convenience of international readers. The Vietnamese version is the governing text on matters regulated by Vietnamese law. If the two versions differ, the Vietnamese version prevails.
